Artfundi's Bulk Artwork Importing Solution

Uploading hundreds or thousands of works manually can be daunting and error-prone. That's why Artfundi offers our bulk import solution, designed to enhance efficiency and speed up the upload process, allowing you to focus on the exciting features our platform offers.


This solution benefits all users, whether you're a current client, a new client onboarding, starting from scratch, or transferring from another inventory management system


Overview & Options:


The process is a collaborative effort between you and Artfundi, aimed at making it as easy as possible for you.


Inevitably, the preparation part of the process can be time-consuming. The second part of the process involves updating an Excel sheet with all necessary details of each artwork, and ID numbers which are obtainable from your platform.


If you do your data preparation to match the Artfundi database template we will provide you, then the bulk import is free. 

 

For those who prefer additional assistance with this task, we offer an optional Data Preparation Service at $40 per hour, to do this part on your behalf. 


In this service, you provide us with your data source, and we will match the artwork information to the template accordingly. 


You may refer to Step 2 for more information about this part of the process.


*If you select this service, the following conditions apply:


  • Artwork information must be formatted to match our template fields, to ensure a smooth import process.

  • Platform sections need to be set up ie. Categories, Branches, Mediums etc.

  • Minimum required fields must be provided.

  • The time required for the task varies depending on the size, quality, and format of the data received.


How To Get Started:


Reach out on care@artfundi.tech with your request.


We will begin by assessing the size of your request, sampling your data, determining the urgency, and deciding which party will update the template.


Based on this assessment, we will either provide you with the template or offer a customized quote and time estimation, enabling us to schedule our timeline and resources accordingly.


Steps Of The Process:


  1. Prepare Your Platform:

    Ensure that your platform is set up and ready for the import.

  • All artworks must be linked to a branch. Please set the appropriate branch(es) for the works. For easy reference, click here to view the steps.


  • Additionally, ensure that your platform is set up to match the imported data for a seamless migration. For example, if you want to import artwork with a specific Category, you must set up that Category in your platform beforehand.


It's simple! All sections are located under 'Works' in the Navigation Menu of your platform. Browse to each of the following and update them according to your requirements:


- Ownerships

- Categories

- Mediums

- Inscriptions

- Locations

- Statuses


  1. Update ‘Artwork Import’ Template: 


  • We will provide you with a template to update with artwork information, or do this on your behalf if you have selected that option.


Refer to your data source and copy the relevant information of all artworks, pasting it into the matching fields on our template. 

The minimum required info is the Title, Branch, and Link to Images.

All ID’s can be found by adding ‘/customer/bulk-upload-helper’ to your URL e.g. ‘studio.artfundi.tech/customer/bulk-upload-helper’.


  1. Prepare Your Images: 


  • For each artwork, create a separate folder in your preferred cloud storage (e.g., Google Drive, Dropbox).

  • Within each folder, upload 1-5 images of the artwork. Ensure that each image is less than 5MB and in either PNG or JPG format.


  • Once all images for all artworks are uploaded, compress the folders into ZIP files. 


  • Share access to the ZIP folders on your cloud storage with the Artfundi representative assisting you with the request.

  • On the ‘Artwork Import’ template, update the ‘hero_image_url’ field for each artwork, with the reference title/number that matches the corresponding Cloud folder.


Once preparation has been completed and Artfundi has received all necessary information and resources, we will proceed with the import internally on your behalf.


We must emphasize that the quality of the import results depends on the accuracy and completeness of the provided data and the platform's preparation. Therefore, it is crucial to ensure that all relevant information is included and correctly aligned. Otherwise, we cannot guarantee that all fields for all artworks will be updated correctly.


We will notify you once the import is completed. At that point, you can review and manage your artworks directly from your Artfundi platform.
